Advertising must in no way imply a partnership with or endorsement by The Music Hall of Lessee’s event. Any use of The Music Hall’s name, except as specifically referred to herein, is expressly prohibited without the written consent of The Music Hall. The Music Hall reserves the right to assess penalties if the lessee does not adhere to these provisions.

For your event to be announced to the public and put on sale

We require the following content:

  • Show name, exactly as it is to appear on the website, tickets, and in print.
    • The title must begin with “(Renter’s name here) presents” and then the performance title.
    • Show name must be less than 70 characters, including spaces
  • Presenter’s Organization
  • Description of the show:
    • A 250-word or less
    • and a 25-word or less
  • Two (2) .jpeg or .png images at high resolution (300dpi or greater) in landscape/wide orientation, not vertical/portrait, with no text. The larger the better. A minimum of 2000px wide is required.

How The Music Hall MUST be Represented in Your Event Marketing

In all marketing materials for your event (e.g. posters, fliers, or print advertisements, etc.), we require that the following be included

  • Correct name: All references must be as The Music Hall (not Portsmouth Music Hall)
  • Logo: All marketing materials must include a current Music Hall logo. Renters must not recreate The Music Hall’s logo.
  • Website/Social: At a minimum, all marketing materials must include The Music Hall’s website, TheMusicHall.org
    Optionally, you may include the official Music Hall social media accounts: Facebook: /MusicHall | Instagram: @MusicHallnh
  • Show info: Day, date, time, and location of event, ticket prices, presenter’s name, and box office information.
  • Ticket Purchase (please include all information verbatim):

ALL MARKETING MATERIALS MUST BE PRE-APPROVED BY THE MARKETING DEPARTMENT AT THE MUSIC HALL

Included in Your Rental

  • WEBSITE: Your event listing on the website includes The Music Hall’s online calendar and an event detail page. Event information should be sent to our Rental Manager at least two weeks prior to your event going on sale.
  • EMAIL BLAST: Your event will be listed twice free of charge – as part of the “Just Announced” enews sent to ~30K subscribers during the month your show goes on sale; and the “Weekender” enews sent to ~7K-15K subscribers during the week prior to your show.
  • LOBBY SCREENS: Our screens in the Historic Theater Founders (lower) Lobby will feature a slide for your show in rotation prior to your event, after your tickets are on sale. Slides will also be shown prefilm.
  • SOCIAL MEDIA: The Music Hall will endeavor to like posts made by the Lessee.
  • MONTHLY MAGAZINE: Your event will be listed twice in The Music Hall’s magazine with a 6K circulation – once during the month your show goes on sale, and once during the month of the performance/screening on the monthly calendar and At-A-Glance page.
    Deadline for print is the first of the month prior to the publication date. For example, if you would like your event to be announced in the May on sale, then all contracts, deposit, event info, and ticket information is due on April 1.

THE MUSIC HALL CAN DISPLAY THE FOLLOWING MATERIALS

Lessee is encouraged to produce the following materials to further promote their event. Lessee is responsible for designing, printing, and delivering these materials. Please coordinate delivery of these materials with Rental Manager.

All materials must be pre-approved and will be displayed at the discretion of The Music Hall.

  • Postcards/Rack Cards may be displayed on the counter at our box office counter, space permitting. Cannot exceed: 5.5” x 8.5” (half-sheet).
  • Posters: TWO 11”x17” posters (portrait orientation) can be displayed at the Historic Theater prior to your event.
    All posters that are distributed and placed by Lessee in locations other than The Music Hall property must strictly adhere to city/town ordinances. In the city of Portsmouth, please refrain from hanging promotional posters on street lamps, telephone poles, and traffic lights.

DAY-OF-EVENT SIGNAGE AND MARKETING OPTIONS

  • Please bring all materials to the House Manager
  • Attaching promotional materials, including merchandise, to lobby walls or doors is strictly prohibited.
  • Banners may be hung in the auditorium or upper lobby spaces with prior authorization from and coordination with the Rental Manager.
  • Programs/Playbills should be delivered no earlier than 48 hours before the event.
  • (HT) Digital Slideshow: Renters have the opportunity to integrate up to five slides into the promotional reel in the upper lobby for the evening of your event. Images for slides should be in 16:9 format (pdf, jpg, png, or tiff) and must be submitted at least two weeks prior to the event date.
    Tips for the best presentation:

    • Leave a healthy margin on all four sides
    • Don’t overcrowd with text; slides are up for a max of 5 seconds.
    • Be careful not to stretch images when resizing, hold down shift (in most programs) to scale without stretching.

MAILING LISTS

The Music Hall does not sell or rent mail, phone, or email lists. Renters may, upon request, receive information (names, addresses, email addresses) about their ticket buyers – at no charge. For more information, please contact Wesley Lovell at WLovell@themusichall.org.

The Music Hall Marketing Department offers the following marketing options. Availability is limited. Requests must be submitted with signed paperwork before scheduling can be determined.   • Social Media – option to do one or all of the following: a boosted post; social media mention; boosted event
  • Weekender Email “Don’t Miss” – up to two insertions in the weekly email sent to 11- 15K

MARQUEE POLICY & GUIDELINES

As part of your rental package of the Historic Theater, The Music Hall provides day(s)-of event information on our marquee. Anything posted on the marquee must adhere to the marquee policy and will be designed by The Music Hall.

  • Only white lettering on black background is used with no moving images or flashing lights. Only white static text can be used on the marquee.
  • No sponsor recognition or logos will go on the marquee.
  • The Music Hall marquee will not be sold for advertising.
  • The Music Hall’s management decides what content the marquee will display.
  • There is a strict character limit and show titles might be shortened per The Music Hall’s discretion.
  • The neon portion of the sign is lit from 12PM to 12AM daily with the name of that day’s event. For example:
